Adding an outside engineering team should increase capacity without making the design harder to control. That depends less on the number of CAD hours purchased than on the quality of the work package and the review process.

A defined tooling assembly, a drawing package, or a concept study is easier to assign than “help finish the project.” Start with a boundary that both teams can describe, then decide how changes will cross it.

Specify the decision and the deliverable

Separate concept development from detailed design. A concept assignment might compare layouts and document tradeoffs. A detailed-design assignment might produce released models, drawings, and a BOM from an approved concept. Neither automatically includes structural analysis, controls integration, or installation support.

For an illustrative gripper work package, define the parts handled, locating approach, available robot interface, operating sequence, expected loads, and required output files. State what your team will select and what the external designer is expected to propose. If the concept is still open, make concept approval a milestone before detailing begins.

Protect the interfaces first

List mounting faces, datums, envelope limits, part variants, utilities, sensors, and maintenance access. Assign an owner to every interface that connects the work package to another team’s design.

Example responsibility split to agree at kickoff
DecisionResponsibility to assign
Robot mounting interfaceWho supplies the governing geometry and approves changes?
Part location and variationWho defines datums, tolerances, and representative parts?
Sensor selection and placementWho coordinates mechanical access with electrical and controls requirements?
Load and cycle assumptionsWho provides them, and who approves the analysis basis?
Release authorizationWho can approve models, drawings, and component substitutions?

These assignments prevent two common gaps: an external team making an unapproved system decision, and an internal team assuming a decision was included when it was not.

Agree on CAD and file conventions

Specify the CAD platform and version, units, templates, part numbering, material definitions, revision scheme, and purchased-component library. Decide whether deliverables require editable native files, neutral formats, PDFs, or all three. Include the rules for reuse of existing models and for ownership of newly created work in the agreement.

Check external references before transferring assemblies. SOLIDWORKS’ Pack and Go collects related model files into a folder or archive. It is useful for packaging, but the team should still verify that the intended drawings, references, configurations, and revisions are included.

Use reviews at the points where changes are still practical

A concept review should resolve the operating approach and major interfaces. A design review should examine the assembly, access, loads, component selections, and outstanding assumptions. A release review should check the completeness and consistency of the deliverables.

Keep one decision log. Record the question, options, decision, owner, date, and affected files. If a product variant changes mid-project, assess its impact on the model, drawings, BOM, analysis, and schedule together. Informal comments attached to different file versions are a weak substitute for a controlled decision.

Accept a handoff your team can actually use

Open the final assembly in the intended environment. Check that references resolve, the BOM agrees with the released configuration, and the required drawings are present. Confirm that remaining assumptions and open issues are documented rather than hidden in an email thread.

The final meeting should also identify what was not validated. For example, a released CAD package does not imply that robot payload, structural performance, or cycle time has been evaluated unless those studies were in scope. Link the relevant reports when they exist.

For a Midwest machine builder working with an external engineering team, review availability and decision ownership can matter as much as file exchange. Agree on the working rhythm, the person authorized to resolve questions, and the expected turnaround for approvals. That gives additional engineering capacity a place in the existing project process.
